Why connect Telegram to HubSpot
HubSpot is the default CRM for startups and mid-market companies in the US, Canada, the UK and Australia. Its API is well documented, private app tokens take five minutes to issue, and Workflows can call a webhook on any property change, which makes two-way Telegram integration straightforward. A Telegram bot or Mini App without the integration creates a second customer list that nobody maintains; with it, every Telegram interaction lands on the right record, managers get alerts where they already are, and customers get updates in the chat they actually read.
How the integration works
- Auth. A HubSpot private app with scopes for contacts, deals, tickets and timeline events, or an OAuth app if you want to distribute the integration to several portals.
- Inbound (Telegram → HubSpot). The bot or Mini App calls our middleware; it upserts the contact by Telegram user ID (stored in a custom property), creates or updates the deal, and logs a timeline event with the conversation summary.
- Outbound (HubSpot → Telegram). A HubSpot Workflow sends a webhook on stage change or task; the middleware renders a template and sends the message through the bot, respecting rate limits and quiet hours.
- Inbox. Conversations can be mirrored into HubSpot Inbox as a custom channel, or operators reply from a dedicated Telegram group; both options keep the history on the contact.
Typical flows
- Lead capture: estimate form in a Mini App → Contact + Deal in the right pipeline with UTM and Telegram source
- Sales follow-ups: “Proposal sent” stage → templated Telegram message with the proposal link
- Support: /support command → HubSpot Ticket with order data; replies flow back through the bot
- Marketing: HubSpot lists → segmented Telegram broadcasts with unsubscribe handling
Architecture
| Layer | What runs there |
|---|---|
| Telegram | Your bot (grammY or aiogram) and Mini App; users never leave Telegram |
| Middleware | A small service on your cloud (Node.js or Python): auth with HubSpot, upserts, dedupe, templates, rate limits, retries, audit log |
| HubSpot | Native objects and automations; no custom code inside HubSpot beyond fields and triggers |
| Monitoring | Failed syncs alert your team in a Telegram group; a daily reconciliation report catches drift |
We keep business logic in the middleware so that HubSpot upgrades, API version changes and bot changes do not break each other. The middleware ships with tests, an admin page for retries and documentation your developers can extend.
Data, consent and compliance
Telegram user IDs, usernames and phone numbers are personal data. The integration stores consent (captured in the bot or Mini App), supports unsubscribe commands, honors deletion requests by removing the Telegram identity from HubSpot records, and keeps data in your HubSpot region and your cloud region. For GDPR, UK GDPR, PIPEDA and the Australian Privacy Act we provide a data flow document for your DPO.
